Key Result Areas
*Ensure staff throughout the school are provided with efficient and effective administrative and clerical support to assist them in the effective fulfilment of their duties with particular emphasis on Pupil related matters
*Assist both the Finance Manager and the Estate Manager in their respective roles
*Ensure school equipment is effectively tracked and maintained and the timely ordering of resources
*Ensure purchase of materials and supplies complies with school guidelines
*Manage the petty cash on behalf of Finance Manager
*Collate extra duty information for salary preparation for Finance Manager
*Produce month end journals for Petty Cash and Credit Card for Finance Manager
*Ensuring appropriate monitoring of School vehicles
*Implement recording, filing and control processes that ensure accurate and timely information is provided.
*Provide word processing, administrative and clerical services in a professional and confidential manner
*Ensure correspondence is handled in a timely and appropriate manner and that good relations are maintained with parents, local authorities and other bodies.
*Deal with internal and external enquiries and reception of visitors
*Respond to e-mails, letters and telephone enquiries ensuring that all enquiries are dealt with in a professional and sensitive manner
*Assist school staff and managers in dealing with correspondence, requests for information, organising and scheduling visits
*Comply with procedures to ensure effective use and control of petty cash and the efficient use of stationery.
*Ensure that purchasing and ordering procedures are implemented and adhered to
Essential Skills and Competencies
*Must be experienced and accomplished in the use of office software including Word, Excel, Power Point and Outlook
*Excellent customer care skills
*Able to deal with enquiries, correspondence and reports dealing with complex educational and professional issues
*Good standard of presentation and inter-personal skills - able to act as a reliable and effective first point of contact
*Sound organisational and planning skills and a flexible approach
*Able to provide accurate reports and maintain electronic and manual data systems
*Must be honest, trustworthy and reliable
*Able to satisfy DBS check that there are no impediments to working with children
*Empathy with young people particularly those with additional special needs
*Able to manage and respect confidential matters
*Seeks opportunities for personal development
